Privacy Policy
Last updated: 20 October 2026
This policy explains what personal data YourTeamPulse collects through this website and its employee feedback service, why we collect it, and how we handle it. If anything here is unclear, please contact us.
Confidential feedback: Individual answers are not shown beside employee names in the app. Authorised organisation users can see participation, and results from small groups may make an answer easier to infer. Responses are linked to employee records in our database.
1. Who we are
YourTeamPulse is operated by Grow Code Software Consulting, established in Pakistan and registered at 42-B Iqbal Avenue Phase 1, Lahore, Pakistan. In this policy, “we”, “us” and “our” refer to that company, and “you” refers to any individual whose personal data we process.
YourTeamPulse is sold to organisations and used by their employees. In most cases your employer is the controller of employee data and decides why it is processed; we act as a processor to provide the service. We act as a controller for website enquiries and data we process for our own service operations.
If your employer provided your account, their own privacy notice will also apply to you.
2. The service and your account
YourTeamPulse is an employee feedback and engagement service. Employees receive one short question on a regular working-day cadence and answer it on a 1–5 scale. Those answers become aggregated insight for the organisation.
You access the service through an account managed by your organisation. To operate and secure that account we process information such as your name, email address, organisation membership, an internal user identifier, and authentication information.
Passwords are never stored in readable form. They are protected using a one-way cryptographic hashing function, so the original password cannot be recovered from what we hold — including by us.
3. Feedback confidentiality and management visibility
This is the part of the policy most people want to understand, so we have tried to be exact about it.
What your organisation can see
HR, managers, executives, and other organization users can view aggregated scores, response distributions, participation totals, and team-level trends. The product does not display named participation lists or provide a customer-facing interface for tracing a specific answer back to an employee.
What your organisation cannot see
The app does not display an individual answer next to a person’s name. However, when few people respond, aggregate results combined with participation information may let someone infer an answer. TeamPulse does not currently apply a minimum distinct-respondent threshold across every report.
Being honest about what exists behind the scenes
Responses are stored with an employee identifier so the service can deliver questions, prevent duplicate submissions and retain feedback history when an employee changes teams. People with direct database access can identify an answer. Organisation users do not receive that database access through the app.
4. What data we process
| Category | Examples |
|---|---|
| Website enquiries | Work email, company name and size, role, message, submission time and browser user agent when you request a demo |
| Website request data | Our hosting systems may receive your IP address and browser details when you visit the site |
| Name and organisation | Details supplied by your employer to set up your account and team |
| Email address | Your work email address, used to identify your account and to send service messages |
| Internal user or account identifier | An identifier we generate to link your account to your organisation |
| Feedback and other content you submit | Your answers to questions, and any other content you choose to provide |
| Product interaction and operational data | Application events, question delivery and response status records, diagnostics and timestamps |
| Device or application information | Information about the application and device needed for security and troubleshooting |
We do not ask for, and the service is not designed to collect, special category data such as health information, nor government identifiers or payment card details from employees.
5. Why we process it
We use website enquiry details to respond to demo requests. We process service data to make the app work, keep it secure, and support it:
- authentication and account management
- delivering questions and recording responses
- producing aggregated insight for your organisation
- preventing duplicate responses and fraud
- security, support, diagnostics, reliability and performance
What we do not do. We do not use your data for third-party advertising, for targeted advertising, or for tracking you across other companies’ apps and websites. We do not sell your data to data brokers.
6. App Store privacy labels
Our App Store Connect privacy declarations state that YourTeamPulse collects Email Address, User ID, Other User Content and Product Interaction; that the purpose is App Functionality; that these categories may be linked to your identity within the service; and that none of them is used for tracking.
“Linked to your identity” is an Apple term about how data is stored and handled, and it is easy to misread. It means the data is associated with your account so the service can function. It does not mean your individual feedback is visible or attributable to your employer through the product. Section 3 describes exactly what your organisation can and cannot see.
7. Sharing and service providers
We do not sell personal data. We share it only in these circumstances:
- With your organisation — account, participation and aggregated reporting information available to authorised roles, as described in section 3.
- With our sales team — website demo requests are stored on our server and emailed to sales recipients so they can respond.
- With service providers who help us run the service, such as cloud hosting, email delivery and error monitoring. Our current providers are:
- Hostinger — this website's hosting and email delivery
- Supabase — database and authentication
- Amazon Web Services — application hosting and logging
- Brevo — transactional email, such as verification and notification messages
- OpenAI — generating suggested management actions from aggregated scores
OpenAI receives aggregated information only — a category name, a numeric score and a team size. It does not receive employee names, email addresses, identifiers, or any individual response.
- Where the law requires it, or to establish, exercise or defend legal claims.
- In a corporate transaction, such as a merger or acquisition, in which case we will tell affected customers.
8. Retention and deletion
Website demo requests remain in our site's lead file and sales inboxes until removed manually; no automatic deletion period is currently set. Employee and organisation data may remain while the organisation uses TeamPulse. Deletion after account closure depends on the arrangements with that organisation and any legal requirements. Contact us or your organisation for the period that applies to your data.
If you want your data deleted, please contact your organisation first — as the controller, they decide what happens to it — and we will support their instruction.
9. Security
We take the following measures, among others:
- all traffic between the applications and our servers is encrypted in transit using TLS
- passwords are stored only as one-way cryptographic hashes, never in readable form
- access to production systems is restricted to personnel who need it
- on the desktop application, sign-in credentials are stored using the operating system’s secure credential store rather than in plain files
- the desktop application validates the identity of our servers before sending data to them
No service can promise perfect security, and we will not pretend otherwise. If a breach affects your data, we will notify the relevant parties as required by law.
10. International data processing
We process and store data in the European Union, in the eu-west-1 region (Ireland).
If you are in the United Kingdom, your data is therefore processed in the EU rather than the UK. The UK government has determined that the EU provides an adequate level of data protection, so no additional transfer mechanism is required for that route.
Our own team is based in Pakistan. Grow Code Software Consulting is established in Pakistan, and our personnel access data from there in order to operate, support and maintain the service. Some of our service providers, or their support teams, may likewise access data from outside the EU or UK.
If you are in the UK or EEA, ask us or your organisation for details of the safeguards applicable to access from Pakistan or other countries outside your region.
11. Your privacy rights
Depending on where you live, you may have the right to access the personal data we hold about you, to correct it, to delete it, to restrict or object to how we use it, to receive a copy in a portable format, and to complain to a data protection authority.
Because your employer is usually the controller of your data, the quickest route is normally to contact them. You can also write to us at hello@yourteampulse.com and we will respond, and pass the request to the relevant organisation where appropriate.
If you are in the UK, you may complain to the Information Commissioner’s Office. If you are in the EEA, you may complain to your local supervisory authority.
12. Children’s privacy
YourTeamPulse is a workplace tool intended for use by adults in employment. It is not directed at children, and we do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, please contact us and we will delete it.
13. Changes to this policy
We may update this policy as the service changes or the law requires. When we do, we will revise the “last updated” date at the top. If a change materially affects how we handle your data, we will give notice through the service or to the organisations that use it, rather than relying on you to re-read this page.
